Submitting a Letter of Support Request

  • Check for overlap:  Review ongoing proposals and projects here to ensure your research does not significantly overlap with existing projects. It is the responsibility of the researcher to identify a unique hypothesis and avoid duplicating existing work.
  • Explore the dataset: Use the data dictionary to identify and specify the variables and populations of interest relevant to your study. Include this information in the request form.
  • Complete the request form. Specify in your request that this is for a letter of support.

Note: Submitting a request for a letter of support does not initiate data sharing. If approved, investigators will receive a formal letter of support, which can be used for grant/funding applications, IRB submissions, or other preparatory steps. To receive data, a subsequent new project/data request must be submitted and approved separately.

Submitting a New Project/Data Request

  • Check for overlap:  Review ongoing proposals and projects here to ensure your research does not significantly overlap with existing projects. It is the responsibility of the researcher to identify a unique hypothesis and avoid duplicating existing work.
  • Explore the dataset:  Use the data dictionary to identify and specify the variables and populations of interest relevant to your study. Include this information in the request form.
  • Meet IRB / non-human determination requirements:
    • IRB approval or institutional certification of non-human determination is required for all data requests.
    • University of Florida affiliates may use the UF auto-determination tool to obtain institutional non-human determination. If a Confidentiality Agreement is needed, fill out your information then email to Batul Yawer at byawer@ufl.edu for the data release signature.
  • Complete the request form. Specify in your request that this is for a new project.

Note: You will be notified of your project’s request status (e.g., unconditional approval, approval with requested revisions, resubmission request, or denial) via email following review by the 1Florida ADRC Executive Committee.

Submitting an Update to Your Approved Project/Data Request

  • Obtain your previous project request ID number. This can be found in your approval email from 1Florida ADRC and corresponds to the file name of the approved proposal attachment (e.g., “2025-01-10_LastName”) and matches the filename of the attached approved proposal. Please reference this ID in all future communication about your project.
  • Check for Overlap: Review ongoing proposals and projects here to ensure your research does not significantly overlap with existing projects. It is the responsibility of the researcher to identify a unique hypothesis and avoid duplicating existing work.
  • Summarize your updates: Clearly list any changes in project aims or details (e.g., co-authors, variables of interest, any new populations or data modalities from your original request).
  • Confirm IRB / institutional non-human determination requirements:
    • If the project aims have changed significantly, or your previous determination has expired, an updated IRB approval or non-human subjects determination will be required.
  • Complete the request form. Specify in your request that this is an update.

Note: Update requests are also required for projects approved more than one year ago, even if no changes are being made to the aims or scope of the work.
