This page addresses common questions about requesting research data from the 1Florida ADRC, including proposal review, timelines, data delivery, and post-approval processes.

How long does it take to process and receive a decision on my request?

Project proposals are reviewed during Executive Committee meetings, which are typically held every two weeks. However, meeting frequency may be reduced due to scheduling changes, national holidays, cancellations, or other delays. As a result, processing times may vary. You can generally expect to receive a notification about the status of your request within one week after the committee’s review.

Can my proposal request be expedited?

Unfortunately, we are unable to expedite project/data requests. All project proposals are reviewed during scheduled Executive Committee meetings, which typically occur every two weeks, with exceptions to the timeline as described above.

If my proposal is approved, when will I get my data?

There is not a definitive answer. We must first have an IRB approval / non-human determination letter on file, but this can be started before your project is approved to expedite the process. The quantitative Quick Access Dataset can be sent to you shortly after receiving the necessary documents mentioned above. 

Please note: if you have requested brain imaging files and/or biospecimen samples, data delivery will take more time.

How do we deliver the data?

For quantitative data, you will be emailed a link to a dropbox folder containing the dataset in various file type forms (e.g., csv, sav) and a copy of the data dictionary. The link will expire within a week from sending. Raw brain image files will be transferred according to your preferences indicated in the project/data request form. For those requesting biospecimens, they will be shipped to you after we have received payment for the cost of shipment.

Do I need to submit a new project proposal if I already have access to the data from a previously approved project?

Yes, a new project proposal request is required for each new research project, even if you already have access to the data. This ensures that we can: 1) provide updated datasets if needed or available, and 2) maintain accurate records of all ongoing 1FL ADRC projects to prevent overlap between studies. All new projects and research questions must receive formal approval from the Executive Committee before proceeding.

How much plasma or serum should/can I request for my study?

Plasma and serum are typically distributed in 500 μL aliquots. If your study requires a larger volume, please specify the requested amount in your initial request form and provide a justification for the additional volume.

How long does it take for biospecimens to be distributed to the requester?

Biospecimens are typically distributed within 3-5 weeks after project approval by the ADRC Biospecimen Committee.

Do I have to pay for biospecimen shipment?

Yes, requesters are responsible for covering shipping costs if biospecimens are being sent outside of the University of Florida. Please provide a FedEx account number and clear shipping information when submitting your request.

I have an approved project/data request and have received a dataset. How do I get an updated version of my dataset?

If your approved project remains the same, please reach out to the DataCore team who has been working with you to transfer data. If changes are made to your original project, you will need to submit a new project/data request.

How often are datasets updated?

About every 3-4 months.
