Investigators may request 1Florida ADRC clinical, neuroimaging, or biospecimen data by submitting a project/data request form. All requests are reviewed by the 1Florida ADRC Executive Committee. Once reviewed, you will be contacted regarding the status and next steps.

The 1Florida ADRC uses a single request system via the same REDCap form that supports (1) letters of support, (2) new project/data requests, and (3) updates to existing approved project/data requests. Your selection determines which fields appear in the form and what materials you must provide.

Before submitting a request, review the options below to determine which pathway applies to your project.

Request Types and Steps

Letter of Support Request

Choose this option if:

  • You have a research idea but do not yet have IRB approval or an institutional non-human determination.
  • You need a letter to support a grant application, institutional approval, or administrative process.
  • You are not yet requesting data (letters of support do not initiate data sharing).

What to do:

  • Check for overlap with existing projects. Review the list of existing projects to ensure your concept is unique.
  • Explore the dataset using the data dictionary.
  • Complete the REDCap request form. Select “Letter of Support” request when prompted and complete all requested details.

Outcome from the request:

  • The 1Florida ADRC Executive Committee will review your request for a letter of support. If approved, you will receive a letter of support from the 1Florida ADRC Executive Committee. However, this is not a project proposal approval notification. You will not receive the requested data until a specific project is submitted with the associated IRB/non-human determination letter.
New Project/Data Request (Post-IRB Approval or Exemption)

Choose this option if:

  • You have an IRB approval or institutional non-human subjects determination.
  • You are requesting access to 1Florida ADRC clinical, neuroimaging, or biospecimen data for a new project.

What to do:

  • Check for overlap with existing projects. Review the list of existing projects to ensure your concept is unique.
  • Explore the dataset using the data dictionary.
  • Meet IRB or institutional requirements
    1. IRB approval or non-human determination
    2. UF investigators may use the UF Auto-Determination Tool.
  • Complete the REDCap request form. Select “New Project/Data Request” request when prompted and complete all requested details.

Outcome from the request:

  • The 1Florida ADRC Executive Committee will review your new project/data request. You will be notified via email of your request status outcome: approval, approval with revisions/comments, revise and resubmit, or denial.  If approved, the 1Florida ADRC Quick Access and any other approved datasets will be distributed to you.
Update to an Existing Request

Choose this option if:

  • You’ve already received approval for a prior 1Florida ADRC project and now need to update aims, other study details (e.g., list of co-authors) or request additional or updated data.

What to do:

  • Check for overlap with existing projects. Review the list of existing projects to ensure your concept is unique.
  • Explore the dataset using the data dictionary.
  • Confirm IRB / institutional non-human determination requirements.
  • Complete the REDCap request form. Select “Update to Approved Project/Data Request” request when prompted and complete all requested details.

Note: The 1Florida ADRC provides data in a de-identified format. Therefore, check with your institution to determine if an IRB is required.
